Target accounts are the specific companies you want to sell to. Most outbound teams start with a list of target accounts and a blank column for contact details. Manual search breaks down when your list exceeds 50 companies.
Domain-to-contact enrichment is the process of matching a company website URL against a database to extract contact details. For example, a growth operator uploads a CSV of 500 manufacturing domains to request operations directors. The system returns names and email addresses for those specific roles. Choosing the right mechanism depends on your target market.
To execute this workflow, first format your domain list into a single CSV column. Second, select your enrichment provider based on your target industry. Third, map your desired job titles to the provider taxonomy before running the enrichment job. Finally, verify the output through an SMTP ping service before loading the data into your sending platform.
The Decision Framework
You must choose between three distinct methods to find emails for a list of companies based on your target market. Standard databases work well for technology companies, while live scraping suits local businesses. Waterfall enrichment bridges the gap for niche industries where standard coverage falls short.
Option One: B2B Contact Databases
B2B contact databases are searchable repositories storing millions of records scraped from public profiles and corporate websites. You upload your company list, apply specific job title filters, and export the matching contacts. This method works best for standard job titles at mid-market and enterprise software companies. Software engineers, marketing directors, and sales managers are easy to find.
Data decay is the gradual degradation of contact information accuracy over time. People change jobs frequently, and static databases struggle to keep records current. You must verify every single address before sending a message to protect your sender reputation. Independent testing often reveals bounce rates exceeding 15% on exported lists.
Consider a campaign targeting 1,000 mid-market SaaS companies where you filter for sales leaders. The system matches 650 contacts at $0.02 per lead, totaling $13. After SMTP verification, 520 emails prove valid, yielding a 52% net match rate. The final cost is $0.025 per verified contact, making databases ideal for broad technology targeting.
Pick this method if:
- Your target audience uses professional networking sites daily to update their current employment status.
- You need standard roles like marketing managers or human resources directors at large organizations.
- You process large volumes of domains and need immediate results without waiting for live queries.
Option Two: Waterfall Enrichment
Waterfall enrichment is a process that chains multiple data providers together in a specific sequence. If the first provider fails to find an email, the system queries the second provider. This approach maximizes your total coverage across difficult industries and specific niche roles. A single database might only find contacts for 20% of your target account list.
A waterfall setup can push that match rate above 50% by combining multiple unique data sources. The cost per lead increases with each additional provider you add to the sequence, trading budget efficiency for higher coverage. Many growth operators use this method when their total addressable market is limited to under 5,000 accounts.
Imagine targeting 500 specialized aerospace manufacturers where Provider A finds 100 valid emails at $0.02 each. The remaining 400 domains pass to Provider B, which finds 75 emails at $0.05 each. The final 325 domains go to Provider C, yielding 40 emails at $0.10 each. You secure 215 verified contacts for $9.75, making your blended cost $0.045 per lead. Your match rate jumps from 20% to 43%.
Pick this method if:
- You target niche industries where standard contact databases typically have poor data coverage.
- Your total addressable market is small, and you need every possible contact from your list.
- You have the budget to pay multiple vendors for a single successful email match.
Option Three: Live Scraping
Live scraping tools are automated scripts that visit company websites to extract contact information directly. They look for team pages, contact directories, and standard corporate email patterns in the HTML code. This approach bypasses outdated third-party databases to provide the exact contact details published by the company today.
The process is slow and requires technical configuration to avoid common automated blocking mechanisms. Many corporate websites hide employee directories behind logins. Scraping works best when you need general inbox addresses rather than specific named decision makers. Local service businesses often publish direct contact details openly.
For example, you have a list of 2,000 local plumbing contractors. You configure a scraping script to crawl the contact pages of each domain. The script runs for four hours and extracts 1,200 general email addresses. After filtering out duplicates and malformed strings, you retain 1,050 valid general inbox addresses. This method costs only the server compute time, typically under $5 for the entire run.
“Live scraping bypasses the data decay problem by pulling contact details directly from the source on the exact day you need them.”

Pick this method if:
- You target local businesses like restaurants, dental clinics, or regional construction firms.
- The companies on your list do not maintain active profiles on standard professional networks.
- You need general contact addresses rather than specific individual decision makers for your campaign.
Cleaning Your Input Data
Your match rate depends on the underlying quality of your input domain list. Redirects, parked domains, and typographical errors return poor results. You must clean your company list before running it through any automated enrichment process. Remove subdomains, strip URL parameters, and ensure every entry is a clean root domain.
Many companies operate under multiple domains or regional variations depending on their geographic location. You should standardize these entries to match the primary corporate domain used for email routing. Formatting your CSV properly prevents wasted credits during the enrichment phase. A clean input file is the foundation of a successful domain-to-contact matching workflow.
Follow this domain cleaning procedure by first using a spreadsheet formula to strip protocol prefixes from all URLs. Second, delete any trailing slashes or page paths. Third, run a bulk HTTP status check to identify and remove domains returning 404 errors. Fourth, consolidate regional domains into the global equivalent if the company uses centralized email routing, and finally deduplicate the list.
Verifying the Output Data
SMTP verification is the process of confirming a mailbox exists and accepts incoming messages from external senders. Sending messages to invalid addresses damages your sender reputation and causes future emails to bounce. Mailbox providers monitor your bounce rate closely to penalize careless bulk senders.
Our data shows that unverified lists contain a high percentage of invalid and unknown addresses. Only 43.4% of scraped emails prove valid upon initial testing. You cannot trust the validation badges provided by most standard B2B contact databases. Always run your enriched list through a dedicated verification tool before launching your campaign.
Consider a raw list of 10,000 enriched contacts. A 15% bounce rate means 1,500 hard bounces, which triggers immediate domain suspension from Google Workspace or Microsoft 365. Running this list through an SMTP verifier costs approximately $20. The verifier flags 1,500 invalid addresses and 500 risky catch-all addresses. You send only to the 8,000 safe addresses, keeping your bounce rate near 0.51%.
Handling Catch-All Domains
Catch-all domains are corporate mail servers configured to accept all incoming mail, regardless of the specific prefix. These domains present a unique challenge for outbound teams. Standard SMTP verification cannot confirm if a specific user exists. The server responds positively to every single query, masking the true status of the inbox.
You must use historical send data or alternative verification methods to validate these specific addresses. Sending blindly carries a high risk of hidden hard bounces. Some verification providers maintain databases of known valid addresses at major catch-all domains. You should separate catch-all results from your main list and test them in small batches.
To handle catch-all domains safely, implement a strict quarantine protocol. First, filter all accept-all results into a separate spreadsheet. Second, cross-reference these emails against a historical bounce database. Third, discard any addresses with a spam trap risk score above 10%. Fourth, drip the remaining catch-all emails into your active campaigns at a maximum rate of five per day per sending domain. This dilutes the risk of sudden bounce spikes.
Compliance and Sending Limits
You must adhere to local regulations when sending unsolicited commercial email. Different jurisdictions have different rules regarding business communications and data privacy. Mailbox providers enforce strict daily sending limits to prevent abuse on their networks. You should distribute your volume across multiple mailboxes and domains to maintain a healthy reputation.
A single mailbox should rarely send more than 40 cold messages in a single day. Scaling your outreach requires a proper infrastructure setup. Monitor your spam complaint rates weekly to catch deliverability issues before they ruin your domains. Proper technical configuration is mandatory for running outbound campaigns at scale today.
If you need to contact 2,000 prospects per month, you cannot use a single email account. At 40 emails per day, one account reaches 800 prospects monthly. You must purchase three secondary domains and set up two mailboxes on each. This creates a pool of six sending accounts. Distributing the 2,000 emails across six accounts keeps your daily volume at 16 emails per mailbox, ensuring optimal deliverability.
Structuring Your Outbound Campaigns
Once you find emails for your list of companies, you must structure your campaigns correctly. Sending the exact same message to every contact will depress your reply rates. You should segment your enriched list by job title, industry, and company size before writing copy. A message designed for a marketing director will fail to resonate with a technical operations manager.
Personalize your opening lines based on the specific data points you gathered during the enrichment phase. This targeted approach yields better results than generic blasts. Always test multiple subject lines to see which variations generate the highest open rates for your audience. Our platform provides pre-warmed mailboxes starting from $39 a month for three mailboxes and a domain.
For instance, segment a list of 1,000 contacts into four distinct cohorts of 250 based on their software stack. Write a specific pain-point hypothesis for each cohort. Send Cohort A a subject line mentioning their current CRM. Send Cohort B a subject line about their billing platform. Track the open and reply rates over 14 days. If Cohort A yields a 6% reply rate and Cohort B yields 2%, reallocate your remaining leads to the winning framework.

Frequently asked questions
How can I find a list of company email addresses?
You can use a B2B contact database, set up a waterfall enrichment sequence, or run a live scraping tool against a list of target domains. The best method depends on whether you need specific decision makers or general company contact information. Always verify the output before sending.
How to search for company emails?
Start with a clean list of root domains in a spreadsheet. Upload this list to an enrichment platform, specify the job titles you want to reach, and let the system match your domains against its contact records. Export the results and run them through an SMTP verifier.
Is there a free database of email addresses?
Most commercial databases offer a small free tier, typically providing fifty to one hundred credits per month. There is no free, large database of verified B2B emails, as collecting and maintaining accurate contact data requires significant ongoing infrastructure costs.
Is there a free email lookup?
You can guess email patterns manually and test them using free SMTP ping tools, but this does not scale for a list of companies. Automated lookup tools that process lists in bulk always charge a fee once you exceed their initial trial credits.
What is a good bounce rate for cold email?
You should aim to keep your bounce rate below two percent to protect your sender reputation. Our internal data shows that properly verified lists can achieve a bounce rate of 0.51%. Anything above three percent puts your domains at risk of suspension.
